HANDBOOK Escondido High School Music Boosters' Association Welcome to the EHS Music Department! This handbook is designed to help Music Department Parents, whether veterans or novices, become better acquainted with all of the activities associated with being the parent of a Band, Choir, Color Guard, Jazz Band or Drum Line member. It is our goal to provide you with knowledge of: Who the Music Boosters are. What they do. How they do it. What you can do to become part ofthe team. On the following pages you'll find: the names and phone numbers for the Executive Board members, a list of committee chairs, booster dues policies, fund-raising information and other general information for parents. MISSION STATEMENT Our mission is to develop partnerships with parents, students and the greater community to promote and support the EHS Music Department in order to ensure student growth in musicianship, performance, leadership, citizenship and self-discipline. BOOSTER MEETINGS Meetings are held on the second Tuesday of each month, unless otherwise announced, August through June at 7 PM in the Music Room (M3), at Escondido High School. Any item to be included in an upcoming general meeting agenda should be submitted to the executive board by contacting the secretary 10 days prior to the meeting. NEWSLETTER A monthly newsletter is mailed to all Music Booster members. Articles/ideaa/Ads must be turned in by the 15" of each month for publication by the 25th ofeach month. The newsletter provides an overview of recent activities, fund-raising efforts, upcoming events and messages from the President, Treasurer, Director and others. If you would like to advertise to help defray the cost of the newsletter, please submit your business card with a $5 fee. Clinicians are individuals hired through the district and approved by the director to give specialized instruction to sections of the band i.e. percussion, flutes, saxophones, etc. A clinician can also assist with marching techniques to the band and color guard as a whole. Accompanist is the pianist for the choir. This gives Mr. McLellan the ability to focus his attention on directing the choir, not what note he is playing on the piano. Staff Advisors are individuals hired through the district and approved by the director to instruct the color guard or drum line portions ofthe music department. Practice/Event Attire is to be determined by the director or advisor. Everything you always wanted to know about being a music parent but were afraid to ask: ~ Practice is longer than scheduled. ~ It will cost more than you think. ~ White socks do not go with black uniforms. ~ Propsareheavierthan they look. ~ A cold hot dog and a warm soda is a good meal. It usually rains on weekends during competition season. ~ The best kids are MUSIC KIDS!!! Enjoy our talented students! They work hard, and it shows. Please participate in any way you can. You will be rewarded with memories that you can share with your student. FUND-RAISING Fund-raising plays a very important role as Music Booster members. We provide for many program enrichment items such as clinicians, accompanists, staff advisors, new uniforms, new instruments, competition and entry costs, awards, etc. Prior to our Participation in any fundraiser, careful consideration is given to the successful history of the activity and the capacity to generate funding with minimal involvement of people power. All fundraising monies stay directly within the music Department programs. General Account fundraisers support the General Budget's costs. These may include the ~ap bootk First Night, Adult Ed Snack Bar, Christmas Parade concessions, Memorabilia sales and Color Guard Competition. Student account fundraisers provide the opportunity for students to earn money directly to their accounts. Such anticipated fundraisers include candy sales. 50/50 Fundraisers split the profit earned between the General Fund and individual group accounts for those who participate. These include Scrip purchases, Westfield Works Wonders, and Color Guard Competition program advertising or sales of other items as voted on by the General membership. Special fundraisers may be called as the need arises. Service Hours Each student is required to work a minimum of 20 service hours at Booster designated events by April 15, 2001. The hours worked will be confirmed by participating board members. Service hours may be performed by the student and/or any member ofhis/her family. If a student or his/her family does not complete these hours, the student will not be eligible for awards and leadership positions. DOLLARS AND SENSE Annual booster dues comprise the bulk of funds that pay for student services, activities and incidentals. It is crucial that all members participate equally. We offer opportunities for students to earn dues themselves. Dues are based on the expected expenses vs. expected income for the program for the following year. Dues are established by the Board annually and approved in a General Assembly. Multiple student and class discounts are available. Current dues are listed in your Booster Contract. Make checks payable to EHSMBA. All checks must include: Student's name What the check covers Signer' s phone number There is a $25 fee for all returned checks, regardless of the amount of the check. If subsequent check is returned for non-sufficient fi~nds, all future transactions must be paid with cashier's check, money order or cash. Payments may be mailed to: P.O. Box 460758 Escondido, CA 92046-0758 OR Placed in a locked classroom deposit box located in the Director's office. REIMBURSEMENT POLICY Booster dues and/or fundraiser monies earned to student accounts are non-refundable. All individuals who wish to purchase items on behalf of the EHS Music Department may do so upon receiving permission to do so ~-om Executive Board members. Anyone who purchases items without prior approval will not be reimbursed. Receipts and reimbursement requests must be turned in within 10 days of the purchase. Receipts turned in after 30 days will not be reimbursed. CHAPERONE GUIDELINES In accordance with the Escondido High School District policy, anyone over the age of 21 who is willing to follow the rules and regulations of the Escondido High School District and Music Boosters may participate as a chaperone. All drivers for Music Department events must meet the District's requirements. No student will be allowed to transport another student. Only district staff are authorized to operate district vehicles. The duties ofa chaperone are determined by each event. Some examples are adjustment of uniforms, polishing shoes, MINOR hair adjustments, providing water during parades, assisting ill students, paper seating area at home football games and general supervision. If you are interested in becoming a chaperone, you may contact the I)irector. The number of chaperones per event is determined by the Director.
